At the core of Viability Inc.’s mission is a profound commitment to empowering individuals and fostering inclusive communities. Across 34 sites spanning Massachusetts, Connecticut, Rhode Island, Oklahoma, and New York, Viability Inc. has established itself as a leader in community support and development. Operating as a private non-profit, Viability specializes in employment services aimed at promoting access, equity, and inclusion for clients living with disabilities and other disadvantages.
In 2014, Viability adopted the Credible electronic health record (EHR) solution, now part of Qualifacts, to enhance its operational efficiency and streamline business processes, facilitating easier data access for reporting to leadership and funders. Viability’s long-term partnerships with clients and significant increase in average monthly revenue have been meticulously documented in Credible EHR and are visible in real-time with Credible analytics. Through Credible’s built-in reporting tools and capabilities, Viability’s staff are able to search data fields and pull information needed to manage the quality of care and positive outcomes for those they serve, all without advanced skill sets.
Over time, Viability has undergone a significant evolution in operations and decision-making processes as its partnership with Qualifacts has evolved and strengthened. The Viability team realized significant value in Credible’s built-in, easy to use Advanced Search Reports, especially towards month-end for billing reconciliation, saving considerable time for their billing staff. Jennifer Pisano, Regional Director with Viability stated, “Credible’s Advanced Search Reports simplified our staff’s processes by aggregating the data, making it simple to upload into our funder’s portals.”
Viability’s growth and increased client commitments led them to seek additional tools and capabilities for gaining insights into metrics and analytics. To address this need, the team upgraded the platform’s built-in reporting capabilities by adding Credible Business Intelligence (BI). This highly configurable solution provides real-time access to critical metrics, empowering Viability to make data-driven decisions for both clinical outcomes and overall success.
To unlock the full potential of Credible’s BI platform, Viability engaged Qualifacts’ Reporting & Analytics (R&A) team, led by Senior Business Intelligence Consultant, Rich Rose. Rose and the R&A team developed custom dashboards with drill-down capabilities for Viability to use. Rose stated, “Viability has a rich data set and we leveraged it. The dashboards we developed provide managers and employees with real-time, actionable insights that directly impact crucial areas.”
Key Areas Addressed
- Meeting Funder KPIs: Through the collaboration between Viability and Qualifacts’ R&A team, Viability can track key performance indicators (KPIs) like clients served and case reviews (plan reviews) by team, ensuring they meet unique funder requirements.
- Managing Employee Performance: Managers can use data to track performance metrics and identify areas for improvement.
- Ensuring Data Completeness: Dashboards highlight missing data points in client profiles, allowing for timely data entry and accurate reporting.
- Empowering Employees: Employees can monitor their own performance and take ownership of their professional development.
Pisano stated, “Credible’s dashboards are a game-changer. Now, we can see agency-wide trends across multiple programs in a single, year-over-year view. This comprehensive picture empowers us to provide valuable insights directly to our leadership, fulfilling a long-standing need.” Jennifer Foisy, Director/Electronic Health Care Administrator at Viability added, “We’re thrilled with the improved data accessibility and its impact on our decision-making.”
“The addition of Credible BI and the dashboard functionality that Rich and team have developed for us has revolutionized our operations, saving us time and preventing oversights. The ability to generate custom reports tailored to our organization’s needs has enhanced our workflow significantly, improving audit scores and enabling real-time monitoring of missing data.” Foisy added, “Furthermore, the efficiency gains have been substantial, resulting in a 50% reduction in time spent on administrative tasks.”
Moving forward, Pisano envisions leveraging Credible’s BI tool to drive further success for their organization, “including utilizing more BI reports with the help of Rich and his team, automating funder reporting requirements, and enhancing the user experience for our staff. We encourage other organizations to explore the benefits of BI reporting and assure them that the Qualifacts team will provide full support in implementing and utilizing these features effectively.”
